MYC Operations Coordinator

Job Description:  Support day-to-day operations and functions of the Media Youth Center, while working under the direction of the Board of Directors to coordinate events and projects as well as provide project management and planning functions. The Center runs a multitude of programs throughout the year for area youths. The Operations Coordinator will be asked to oversee the planning and implementation of these programs and provide administrative support in the office as needed. 

Hours:  This is a part-time position with an average expectation of 15-20hours of work per week. The Center has a critical busy season (approximately from November through March) when the winter recreational basketball league and regional tournaments take place. During this time, hours may fluctuate (25-30) in accordance with the needs of The Center. The Center will have flexibleoffice hours during the year where the Operations Coordinator will need to be available in the office for patrons or parents. These office hours may be negotiated based on the Operations Coordinator’s schedule. 

Wage:  Hourly W-2 status with payment range of $18-22 per hour. Hourly rate will be commensurate with experience and skill level and will be determined upon offering the desire candidate the position. 

Job Duties & Responsibilities:

·      Handle all phone calls, emails, mail and other inquiries that come in to the MYC office.

·      Provide customer service for all programs and events.

·      Update the MYC website at the direction/request of Board Members.

·      Maintain and procure office supplies as well as any supplies needed for MYC events, projects and/or programs.

·      Process daily/weekly financial tasks such as payments for program registrations, tracking sponsorship payments, tracking donations, processing bank deposits, maintaining up-to-date QuickBooks accounts/files, and assisting board members with financial reports for programs/projects.

·      Maintain the background check database and coordinate with individuals regarding their documentation.  In addition, provide updates to the Board of Directors regarding any changes to state or federal laws/requirements regarding background checks for employees and volunteers.

·      Maintain appropriate documentation for office files regarding administrative items such as insurance, staff, facilities, equipment, and board documents. 

·      Provide assistance to the Board with creation of the annual budget as well as tracking income/expenses to budget during the year.

·      Provide assistance and pro-active planning to board members with their sphere of responsibilities for programs and events, to include but not limited to, creation of program/event flyers, assistance with advertising/marketing, assistance with event management details.

·      Provide assistance to board members with project planning for long-range administrative and/or facilities projects.

·      Provide assistance to board members with creating new programs and events with the goal of increasing and diversifying both revenue streams and service to our community.

·      Provide regular updates/reports to board members regarding their spheres of responsibility.

·      Provide Executive Committee comprehensive updates prior to board meetings to help facilitate discussion around project management.

·      Other duties and responsibilities as requested by the Board of Directors.

 

Preferred Skills: 

·      Ability to work independently, take initiative and be pro-active to initiate and complete projects and resolve issues.

·      Ability to use MSOffice applications and experience with website and registration databases.

·      Familiarity with day-to-day bookkeeping applications, specifically Quickbooks.
